CLC Privacy Policy

City Leaders Collective, Inc. (“CLC,” “we,” “us,” or “our”) operates CLC Connect, an online community and learning platform for adult city and ministry leaders. This Privacy Policy explains what information we collect, how we use and share it, and the choices available to you.

This policy applies to the City Leaders Collective website (cityleaderscollective.org), the CLC Connect website (connect.cityleaderscollective.org), the CLC Connect mobile app, and related forms and services that link to this policy. It does not apply to third-party websites, applications, payment pages, meeting platforms, or other services that have their own privacy policies.

1. Information We Collect

Information you provide

Depending on how you interact with CLC, we may collect the following information. Some information is optional and is collected only if you choose to provide it:

  • Account and profile information, such as your name, username, email address, profile photo, website, social-media links, biography, and information you choose to share about your skills or “superpower.”
  • City Partner Form information, such as your city, role, and vision for city flourishing.
  • Coaching information, such as your city, vision, cohort interest, course participation, progress, and certification records.
  • Event registration information, such as your name, email address, and session selections.
  • Support information, such as your name, email address, and a description of your question or issue.
  • Community content, such as posts, comments, group contributions, messages, photos, videos, documents, and other material you choose to share.
  • Communications, including emails and other messages you send to CLC.

CLC Connect does not currently request phone numbers or physical mailing addresses as part of member profiles. If our practices change, we will update this policy as appropriate.

Information collected automatically

When you use CLC Connect, we and the service providers that help us operate it may automatically receive limited technical information, including:

  • IP address;
  • device, browser, and operating-system information;
  • app or device identifiers needed to operate and secure the service;
  • login, access, and activity timestamps;
  • pages, app features, or content accessed;
  • diagnostic, crash, performance, and security logs; and
  • push-notification tokens and delivery information, when notifications are enabled.

We do not use advertising identifiers for targeted advertising, and CLC Connect does not display third-party advertisements. We may use technical information and analytics to operate, secure, troubleshoot, and improve CLC Connect.

Payment information

CLC Connect does not currently process payments inside the app. Coaching payments may be invoiced outside CLC Connect through QuickBooks. Payment providers process payment information under their own privacy policies. CLC may retain related transaction, accounting, and invoice records as required for business and legal purposes.

2. How We Use Information

We use information to:

  • create, maintain, and secure member accounts;
  • provide the member directory, groups, messages, learning resources, coaching, events, and other community features;
  • review and approve access to CLC Connect;
  • communicate about accounts, programs, events, support requests, and important service updates;
  • personalize and improve the platform;
  • track course participation and issue or maintain certifications;
  • respond to reports, enforce community standards, and protect members and the public;
  • prevent spam, misuse, fraud, security incidents, and illegal activity;
  • comply with legal, accounting, and safeguarding obligations; and
  • establish, exercise, or defend legal rights.

CLC does not sell personal information, use personal information for targeted advertising, or display third-party advertisements in CLC Connect.

3. How Information Is Shared

We may share information in the following circumstances.

With other CLC Connect members

CLC Connect is a community platform. Member profile information is available in the member directory to other approved members. Content you post in a group can be seen by members of that group. Messages are visible to their participants. Information you choose to post or send may be copied, downloaded, or shared by its recipients, so please use care when sharing personal information.

Member contact information may be used only for appropriate CLC Connect community and ministry purposes. Certain profile information may be visible to other approved members through the member directory, depending on the member’s profile settings and the information the member chooses to provide.

With CLC personnel and program leaders

CLC staff may access information as needed to administer the platform. Coaches and cohort leaders may access information about participants in their own cohorts. Access should be limited to what is reasonably needed for their role.

With service providers

We use companies and contractors to host, maintain, support, secure, and deliver CLC Connect and related programs. These may include providers of:

  • website and database hosting, including GoDaddy;
  • the community and mobile-app platform, including BuddyBoss;
  • learning and course functionality, including LearnDash;
  • certification and accreditation partners, such as Bakke Graduate University;
  • email, push notifications, diagnostics, security, backups, and technical support;
  • email newsletters and donor/member communications, including Mailchimp;
  • donation processing, including Givebutter (U.S. and international donations) and DonorPerfect (Canada donations);
  • online forms and program sign-ups, including Google Forms;
  • invoicing and accounting, including QuickBooks; and
  • app distribution and review, including Apple and Google.

For members completing our joint coaching certification, we share a participant’s full name, email address, and confirmation of completion of program requirements with Bakke Graduate University so it can issue the joint certificate.

We expect service providers acting on our behalf to use information only for authorized purposes and to protect it appropriately. Some third parties may process information under their own privacy policies and terms when they provide services directly to you.

We may disclose information when we reasonably believe it is necessary to:

  • comply with law, legal process, or a lawful government request;
  • protect the safety, rights, or property of CLC, our members, children, or others;
  • investigate fraud, security incidents, abuse, or violations of our rules;
  • report suspected child sexual abuse material or other illegal conduct to the appropriate authorities; or
  • support a merger, restructuring, or transfer of CLC’s operations, subject to appropriate protections.

4. Respecting Member Privacy

CLC Connect is intended to be a trusted community. Members must not scrape the platform, build lists of member contact information, send spam, sell or disclose member information, impersonate another person, attempt unauthorized access, or use personal information in a way that harms another person.

CLC may investigate suspected misuse, remove content, restrict features, suspend access, or terminate an account when reasonably necessary to protect member privacy, community safety, the integrity of the platform, or CLC’s legal rights.

More detailed rules about acceptable conduct and use of CLC resources should appear in CLC’s Terms of Use or Community Guidelines. This Privacy Policy is intended to describe CLC’s information practices rather than serve as the complete set of community rules.

5. Data Retention

We retain information for as long as reasonably needed to provide CLC Connect, administer our programs, maintain appropriate business records, resolve disputes, enforce our agreements, protect the community, and meet legal, accounting, certification, and safeguarding obligations.

The retention period depends on the type of information and why we hold it. CLC will retain different categories of information for different periods based on operational needs and applicable legal, accounting, certification, safety, and other obligations.

For inactive accounts specifically: CLC removes accounts whose associated email address becomes permanently undeliverable (for example, a bounced or invalid address). CLC also periodically reviews accounts with no login activity for 12 months as part of routine data hygiene, and may deactivate or delete these accounts as appropriate.

6. Account and Data Deletion

Members can initiate permanent account deletion in the CLC Connect app:

  1. Tap More.
  2. Tap Settings.
  3. Tap Delete Account.
  4. Review the warning and follow the confirmation steps.

Members may also contact us at info@cityleaderscollective.org with a privacy or deletion request.

When an account is deleted, we delete or de-identify the account’s identifying profile information, including the email address, username, profile photo, and other personal profile information, subject to the exceptions described in this policy. Some information may be retained when reasonably necessary for legal compliance, accounting, certification records, security, dispute resolution, safeguarding, or the protection of others. Information may remain temporarily in backups and logs.

Information previously shared with other members, including messages, downloaded files, or content copied by recipients, may remain in their possession and may not be fully removable by CLC.

Specifically:

  • Direct-message threads remain visible to other participants after an account is deleted, but the message content itself is removed and replaced with a notice that the message was deleted. The deleted member’s name and photo are replaced by a generic placeholder.
  • Community posts and comments remain visible, with authorship shown as a deleted user.
  • Groups a deleted member created remain active. Ownership of the group transfers to a CLC administrator.
  • Uploaded files, resources, and course or certification records, including records CLC retains for Bakke Graduate University accreditation, stay in CLC’s internal records unless the member separately requests deletion of their personal data.

Members may request removal of their personal data (such as name and email) beyond standard account deletion by contacting info@cityleaderscollective.org. CLC aims to complete such requests within 30 days, except where certification records must be retained for Bakke Graduate University accreditation or other legal, accounting, or safeguarding obligations.

7. Your Choices and Privacy Rights

You may:

  • review and update information available through your account settings;
  • adjust available profile, email, and notification preferences;
  • choose what optional information and community content to share;
  • request access to or correction of your personal information;
  • request deletion of your account or personal information;
  • object to or request limits on certain uses of your information; and
  • request a portable copy of certain information where applicable.

The rights available to you depend on where you live. We may need to verify your identity before completing a request. We may deny or limit a request where permitted by law—for example, when information must be retained for legal, safety, accounting, or certification purposes. We will not discriminate against you for exercising an applicable privacy right.

Additional information for the EEA, United Kingdom, and similar jurisdictions

Where applicable, CLC processes personal information because it is necessary to provide the service you requested, because we have a legitimate interest in operating and protecting CLC Connect, because you have given consent, or because we must meet a legal obligation. Where processing is based on consent, you may withdraw that consent. You may also have the right to complain to your local data-protection authority.

8. International Use

CLC Connect serves leaders in multiple countries. CLC is based in the United States, and information may be processed and stored in the United States or other countries where our service providers operate. Those countries may have different privacy laws than your home country. Where required, we use appropriate measures for international transfers and the protection of personal information.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These include account-access controls and measures provided by our hosting, platform, and security vendors. No website, app, transmission, or storage system can be guaranteed to be completely secure.

You are responsible for protecting your password and for promptly notifying us if you believe your account has been compromised.

10. Adults Only and Children’s Privacy

CLC Connect is intended only for adults aged 18 and older. It is not directed to children, and open self-registration is not available. Accounts are manually approved.

We do not knowingly collect personal information through CLC Connect from anyone under 18. If we learn that an account belongs to a person under 18, we will remove the account and take appropriate steps to delete the person’s information, subject to applicable legal and safeguarding obligations.

11. Child Safety Standards

Although CLC Connect is an adults-only service, we are committed to protecting children. CLC Connect strictly prohibits child sexual abuse and exploitation (CSAE), including grooming, sextortion, trafficking for sexual purposes, sexualization of children, and the creation, possession, solicitation, or distribution of child sexual abuse material (CSAM).

Members must not use CLC Connect to exploit, abuse, endanger, groom, threaten, or sexualize a child, or to create, request, possess, upload, store, or share CSAM. Violations may result in immediate content removal, account suspension or termination, preservation of relevant records where legally appropriate, and reports to law enforcement or child-safety authorities.

Users can report a member or content through the reporting tools available within CLC Connect. Urgent child-safety concerns may also be sent to daria@cityleaderscollective.org. If a child is in immediate danger, contact local emergency services or law enforcement first.

CLC will review reports of suspected CSAE or CSAM, remove prohibited material when we become aware of it, and report confirmed CSAM to the National Center for Missing & Exploited Children or the appropriate regional authority when required by law.

CLC Connect may link to websites, videos, payment pages, meeting platforms, or other services operated by third parties. CLC is not responsible for the privacy practices of those third parties.

13. AI Tools and Intellectual Property

CLC’s toolbox resources, guides, templates, case studies, and other content shared through CLC Connect are provided for members’ personal and organizational use. Members may download, reproduce, and use this content for their own personal or organizational purposes. Members may not use CLC content to create or produce any product, resource, or material intended to generate profit, and may not incorporate CLC content into other documents or resources without providing clear credit to CLC.

Members may not upload CLC content, resources, coaching materials, or participant worksheets to AI tools or platforms to generate commercial work product without CLC’s prior written permission and proper attribution to CLC. This restriction applies regardless of the AI tool or platform used.

CLC may use artificial intelligence (AI) tools internally to help analyze coaching-participant worksheet responses as part of our program-evaluation process. This use is internal only, conducted by CLC staff for program-improvement purposes. We do not upload personal information (such as a member’s name or contact details) to any AI tool — only the substantive worksheet responses are used for this analysis.

14. Changes to This Policy

We may update this policy when our services, practices, or legal obligations change. We will post the updated policy with a new effective date and provide additional notice when appropriate. Your continued use of CLC Connect after an update is subject to the updated policy, to the extent permitted by law.
